1.0 DEFINITION. Synposium Committee shall refer to INCOSE, its Officers and agentsacting for them in management of the symposium.

2.0 ELIGIBLE EXHIBITORS. The Symposium Committee reserves the right to determine theeligibility of any Exhibitor, or product for exhibit. Exhibitors can include manufacturersof products, publishers, service organisations, or educational organisations.

3.0 EXHIBITOR'S RESPONSIBILITY. Booths must be manned at all times by qualified,regular employees or qualified designees. Each Exhibitor shall designate one individual tosupport installation, operation and removal of the Exhibit Display.

4.0 SUB-LEASING. No Exhibitor may assign, sublet or apportion any portion of theirspace. Multiple vendors may share booths.

5.0 NON-COMPLIANCE. The Exhibitor agrees to comply with the rules described herein.Each Exhibitor agrees that the display shall be admitted and remain on a day-to-day basis,unless otherwise agreed to by the Exhibitor and Symposium Committee. The SymposiumCommittee exercises the right to reject any display deemed to be in poor taste. TheSymposium Committee reserves the right to reject any Display in whole or in part, or anyExhibitor or Exhibitor representative. If it appears to the organisers that the Exhibitormay be engaged in activities which are deemed to be contrary to the best interests of theExhibition or which appear unethical or to be in breach of the law, the organisers may,without being under any liability to refund or abate any charges paid or due herein,cancel any stand space allocated which may have been made to the Exhibitor and require theExhibitor forthwith to vacate the stand space allocted to the Exhibitor and refuse theright to participate further in the Exhibition.

6.0 EXHIBITOR SOLICITATIONS. Exhibitors must limit their activities within the confinesof their contractual space. Exhibitor activities shall be such that their activities donot interfere with other Exhibitors. Exhibitors may not organise and conduct any externalpromotional events, which interfere with the INCOSE Symposium activities. The SymposiumCommittee must approve any promotional events organised by the Exhibitors outside of theExhibits Hall.

7.0 FAILURE TO OCCUPY SPACE. Any space not occupied by 3.00 PM on Monday 7

th June 1999 will be forfeited by the Exhibitor and thespace will be made available for resale without refund unless the Exhibitor has madearrangements with the Symposium Committee for delayed occupancy.

8.0 NOISE. Public address and the use of loud devices for the mechanical reproductionof sound beyond the individual Exhibitors booth, or excessive operating noise whichdistracts neighbouring Exhibitors from authorised activities, is prohibited.

 9.0 INSURANCE. Fire, theft and liability insurance protecting the Exhibitor ismandatory and must be arranged at the Exhibitor's expense. The Symposium Committeeinsurance does not cover individual Exhibitor Displays. The Exhibitor shall furnish proofof such insurance at the request of the Symposium Committee.

10.0 FIRE LAWS. Fire regulations must be observed. Although we are dealing with anExposition Service Company, the Exhibitor is to ensure that his/her display complies withcurrent fire regulations. Exhibitors must ensure that aisles and fire exits are notblocked and that all flammable materials are removed prior to commencement of theexposition. No combustible materials are permitted unless approved by the SymposiumCommittee. Stage presentations, exhibitions incorporating smoke are not permitted unless 7days notice has been given by the venue and if appropriate to the local fire authority.Naked flames or pyrotechnics, unless previously approved by the local authority are notpermitted. Fire escape routes, fire exits and signs and fire appliance points are to bekept free from obstruction at all times.

12.0 ATTENDANCE. The Symposium Committee shall have sole control over attendancepolicies.

13.0 CONTESTS OR LIVE EXHIBITIONS. Contests, drawings or lotteries are prohibitedunless approved in writing by the Symposium Committee. Live demonstrations by dancers,models or actors are prohibited unless approved in writing by the Symposium Committee.

14.0 SECURITY. The Exhibit area will be locked for security purposes during the hoursthe Exhibits area is closed. The Exhibitor is solely responsible for their exhibitmaterial and should ensure their Exhibit against loss or damage from any cause whatsoever.All property of an Exhibitor is understood to remain in their care, custody and control intransit to and from or within the confines of the Exhibit Area.

15.0 CLEANING. The Exhibit hall will be cleaned once a day during the closed hours.This does not include dusting or otherwise cleaning the area in the immediate confines ofthe booth area. The hotel's employees will also service the exhibition hall duringexhibition hours.

16.0 ARRANGEMENT OF EXHIBITS. The Symposium Committee will provide Exhibitors with ashell scheme booth in the dimension purchased. Exhibitors are expected to contain theirdisplays within these dimensions. Any exception to this rule must be approved by theSymposium Committee and the Contracted Service Company.

17.0 SHIPMENT OF DISPLAYS, MATERIALS AND SERVICE REQUIREMENTS. Each Exhibitor who hasfully purchased exhibit space will be provided with an Exhibitor Service and InformationKit from the contracted Exhibition Service Company. This kit will containinformation and lease order forms for a variety of additional services including drayageservices, custom accessories, display furnishings, electrical and lighting, skilled labourservices, storage and delivery of shipments.. This information will be provided to eachsigned Exhibitor in ample time for advanced planning.

18.0 LIMIT OF LIABILITY. (a) The Symposium Committee shall not be responsible for anyinjury, loss or damage that may occur to the Exhibitor or Exhibitor's property, employeeor any others designated by him/her, from any cause whatsoever prior, during or subsequentto, the period covered by the Exhibit contract. Nor shall the Committee be held liable foran Act of God, which makes the facility unusable during the contractual period. (b) TheExhibitor furthermore, upon a signed contract, releases the Symposium Committee from andagrees to indemnify and save harmless the committee against any and all claims for suchloss, damage or injury to Exhibitor or Exhibitor personnel while in Exposition quarters.(c) Exhibitors are liable for any damage caused by affixing displays to building floors,walls or to standard booth equipment, or for damage caused by Exhibitor in any othermanner. (d) The Symposium Committee will not be responsible for delays, damage, loss,increased cost or any other circumstance beyond its control. (e) Should any contingencyprevent holding the Exposition, the Symposium Committee may retain such part of theExhibitors rental as shall be required to recompense it for expenses up to the time of thecontingency.

19.0 AMENDMENT TO RULES. Any or all matters or questions not specifically covered bythe preceding Terms and Conditions shall be subject solely to the decision of theSymposium Committee..

20.0 LAW APPLICABLE . These Terms and Conditions and any contract herein will begoverned by English law.
